These Terms and Conditions govern the use of the website timeless-experiences.com and the contracting of activities promoted by Timeless Experiences (hereinafter referred to as “Timeless”). By making a reservation, the customer declares that they have read, understood and fully accepted these terms.

2. Object

Timeless organizes entertainment experiences, team building and immersive activities, including, among others, Buddy Battles, The Collector and personalized corporate events.

The information provided on the website is for information purposes only and may be changed without prior notice.

3. Bookings and payments

  1. Reservations are only considered valid after written confirmation from Timeless and/or receipt of payment.

  2. Timeless reserves the right to refuse bookings that are incomplete, contain incorrect data or do not meet the requirements of the activity.

  3. The prices shown include VAT at the legal rate in force, unless otherwise stated.

  4. Discounts and campaigns:

    • Discounts are not cumulative unless expressly stated otherwise.

    • Timeless reserves the right to change, suspend or withdraw any discounts or promotional campaigns at any time, without prior notice.

    • Discounts do not apply to team building, Unless otherwise agreed in writing.

4. Cancellation Policy, Changes and Reduction of Participants

In the event of total cancellation or a reduction in the number of participants on the client's initiative, the following conditions apply:

  • More than 7 days in advance: 100% refund of the amount paid.

  • Between 7 and 3 days in advance: 50% refund of the amount paid.

  • Less than 3 days' notice: reimbursement of 25% of the amount paid.

  • 24 hours or less: there is no right to a refund.

Refunds, where applicable, will be made by the same means of payment used for the booking, within a maximum of 14 working days.

Failure to show up on the day of the activity (“no-show”) is equivalent to cancellation without the right to a refund.

4.1 Punctuality and lateness

  1. We ask that all participants arrive 15 minutes in advance in relation to the scheduled time.

  2. Timeless' experiences are organized into sequential sessions throughout the day, Therefore, punctuality is essential in order not to compromise the experience of the group itself or of the following teams.

  3. The group is considered to have reached the hour only when the whole team is present. Partial arrival of participants is not equivalent to punctual arrival.

  4. If the group arrives with more than 10 minutes late, The session can be canceled without refund.

4.2 Large groups (Buddy Battles)

  1. Whenever, depending on the estimated number of participants, it is necessary to reserve two consecutive time slots for the same group - because the duration of the activity is longer than normal - and the group is divided into four teams for the purposes of dynamics and organization, a minimum number of invoices corresponding to 16 participants will apply.

  2. The client can confirm the final number of participants up to 7 days before the date of the activity. During this period, The normal cancellation policy set out in the Terms and Conditions applies.

  3. In 7 days before the activity, The minimum billing number of 16 participants applies regardless of the actual number of participants, however, the normal cancellation policy will be maintained.

  4. This is because the activity has a longer than normal, This means that two consecutive time slots must be booked to guarantee the availability of the space and the coordination team for the duration of the activity.

4.3 Rescheduling

Requests for rescheduling are always subject to availability and the conditions set out below:

  • 7 or more days in advance:
    Self-booking can be done free of charge via the booking management link sent in the confirmation email.

    If the customer prefers the rescheduling to be carried out manually by the Timeless team (via email, telephone or WhatsApp), a fixed administrative and logistical fee of 25€ per booking.

    This fee is intended to cover the operational and administrative time associated with manually changing a reservation, namely: checking availability, reassigning human resources, updating internal systems and managing vacancies that may no longer be available to other customers.

  • Between 6 days and 72 hours in advance:
    Rescheduling is only possible by contacting Timeless and paying the fixed fee of 25€ per booking, Additional costs may be added if there are significant operational impacts.

  • Less than 72 hours:
    Rescheduling is not guaranteed and will be analyzed on a case-by-case basis. If it is accepted, a flat fee of 25€, There may be additional operating costs.

  • Less than 24 hours or no-show:
    It cannot be rescheduled and there is no right to a refund.

4.4 Time limit for rescheduling

Any rescheduling, when accepted, must take place on a new date to be held at the 2 weeks after the original booking date, and always according to Timeless' availability.

Timeless does not guarantee availability for specific dates and rescheduling will only be confirmed after written validation.

For operational and agenda management reasons:

  • Each booking can only be rescheduled once;

  • The proposed new date must fall within a reasonable period after the initial date, and it is not possible to postpone the activity indefinitely;

  • If there is no availability within the period indicated, the nearest available alternatives will be presented.

Rescheduling is only confirmed after written validation from Timeless.

Meteorological conditions, forecasts of bad weather or fear of displacement do not suspend or replace the conditions described above and are covered in section 9 (Meteorological Conditions).

4.5 Specific rules per activity

The Collector

  • The activity will not start until all participants are present.

  • If the maximum delay time is exceeded, the activity may be canceled, with no right to a refund.

Buddy Battles

  • The session will start with the available participants, provided they are present at least 4 participants.

  • The rest of the participants will be able to join the activity at a later date.

  • If the minimum number of participants is not present and the maximum delay time is exceeded, the session may be canceled, with no right to a refund.

5. Capturing and Using Images and Sound

By making a reservation, the client and all participants authorize the capture of images, video and sound during the activity.

This collection may be used by Timeless for communication, dissemination and marketing purposes, namely on social networks, website, promotional materials and advertising campaigns, without the right to any compensation.

If any participant does not wish to be picked up, they must inform Timeless in writing beforehand.

6. Children's participation

6.1 Buddy Battles

  • Children, including babies, are not accepted without the express prior agreement of Timeless.

  • Entry to the venue may be refused if this condition is not met, with no right to a refund.

6.2 The Collector

  • A minimum of 1 adult per team when minors are involved.

  • If this condition is not met, the activity may be canceled without refund.

  • The accompanying adult is considered participant, This will count towards the total booking and is subject to payment.

Responsibility for supervising minors lies solely with their legal guardians.

7. Food, Drink and Conduct

  1. Timeless reserves the right to refuse or stop the participation of people who are visibly intoxicated by alcohol or other substances in any activity, without the right to a refund.

  2. All participants must respect the safety rules, the team's instructions and maintain proper conduct.

  3. Timeless reserves the right to request immediate departure of customers in the event of excessive noise, inappropriate behavior or any situation that disturbs the normal operation of the facilities, without the right to a refund.

  4. In the activity Buddy Battles: no outside food or drink is allowed.

8. Safety and Responsibility

  1. Participation in the activities implies acceptance of the normal risks associated with recreational activities.

  2. Timeless cannot be held responsible for loss, damage or theft of personal belongings during the activity.

  3. Any damage caused to the facilities or equipment through improper use may be charged to the participant responsible.

9. Weather conditions and

9.1 Outdoor activities

Outdoor activities normally take place in a variety of weather conditions, including light rain, cold, heat or cloudy skies, and these situations do not constitute valid grounds for cancellation, rescheduling or refund.

For contractual purposes, a clear distinction is made between weather forecasts e real weather conditions:

  • Forecasts of rain, wind or bad weather, regardless of the source, do not constitute valid grounds for canceling, rescheduling or changing the activity.

  • The relevant assessment is always based on actual conditions on site and at the time of the activity, and not in advance predictions.

Timeless is solely responsible for deciding whether to carry out, postpone or interrupt the activity, taking into account safety criteria and official information issued by the competent authorities, namely the IPMA (Portuguese Institute for the Sea and Atmosphere) and Civil Protection.

Potentially dangerous conditions are only considered to be situations duly recognized by official notices, such as:

  • IPMA's active weather warnings for the area e time of the activity (e.g. orange or red);

  • Extreme phenomena with a real risk to safety (e.g. active floods, severe thunderstorms, abnormal strong winds).

In these cases, Timeless may, exceptionally:

  • Propose rescheduling to a new date; or

  • Suggest replacing it with an equivalent indoor activity.

If no alternative is possible due to the total unavailability of Timeless, a full refund may be made.

O fear adverse weather conditions, bad weather forecasts, or individual preventive decisions of the participants do not constitute valid grounds for cancellation, rescheduling free of charge or refund.

9.2 Indoor activities

Indoor activities are not affected by outside weather conditions.

As such:

  • Forecasts of bad weather, rain, wind or other meteorological phenomena do not constitute valid grounds for canceling, rescheduling or refunding indoor activities.

  • Logistical difficulties, delays, fear of travel or precautionary decisions related to the weather are not considered force majeure.

Only in exceptional and proven situations of real and widespread risk, supported by official warnings from the competent authorities (e.g. IPMA, Civil Protection), which objectively prevent the safe and normal movement of the general population, will it be possible to a Timeless assess the possibility of rescheduling.

10. Force Majeure

Timeless shall not be liable for any failure to comply with or delay in complying with its obligations where this is the result of events of force majeure, such as natural phenomena, technical failures, strikes, legal restrictions or other circumstances beyond its control.

In these situations, Timeless will try to offer a rescheduling whenever possible.

11. Data Protection

The personal data collected is processed in accordance with the applicable data protection legislation and in accordance with the Privacy Policy available on the website.

12. Changes to the Terms and Conditions

Timeless reserves the right to change these Terms and Conditions at any time. Changes take effect from the date they are published on the website.

13. Applicable Law and Jurisdiction

These Terms and Conditions are governed by Portuguese law.

For the resolution of any disputes arising, the jurisdiction of the district where Timeless has its registered office is competent, with the express waiver of any other.
